Here at Shout Out we believe privacy is important and something to be taken seriously. That’s why we always strive to do the right thing when it comes to your privacy. You should never feel surprised in regards to the data we know about you. If you ever feel surprised, please let us know.
We will always ask for permission before handling and/or using your data. We only collect and store data that is needed to provide the Shout Out service. Nothing more, nothing less.
If you disagree with this privacy policy, please do not use the services provided by Shout Out for any reason. Our Services are defined as anything Shout Out creates and owns.
What we collect and why
- Names
- Used to display names through the Shout Out product.
- Channel names
- Used to determine what channel an emoji was given in.
- Email addresses
- Used to identify you and your Slack workspace across the Shout Out website and Slack integration. We will not contact you via email unless you have given us explicit permission to do so.
- Messages
- Messages are never stored by Shout Out, they are only used to determine if your chosen emoji was sent to a team member. If your chosen emoji was present along with a tagged team member we collect the following data:
- Emoji.
- Recipient.
- Sender.
- Timestamp.
- Channel name.
- Hash tags.

- Timestamps and timezone
- Timestamps from messages and the timezone of your Slack workspace are used to provide accurate emoji counts (and counter resets).
Where your information is stored
We use VentraIP Australia as our hosting provider in Australia to store and protect your information. They are up-to-date, set up with the latest security standards, and undergo recurring security assessments to protect your information.
When you submit information via the Service provided by Shout Out, your information is protected and encrypted in storage and transit through secure connections. We implement a variety of security measures to maintain the safety of your personal information. If your data is exposed to an unknown 3rd party, we will notify you within 72 hours of the reported incident.
Shout Out may provide your information to an official third party if required to do so by law.

Data retention
We use historical data from the users of our Service to generate internal research reports and to show you statistics about your own usage of the Service. Due to this, data is stored indefinitely unless a data deletion request is made by contacting support@shoutout.au. The Administrators for your account are responsible for your data. In most circumstances, they must approve of any data removal or modifications. If you are a Member of the European Union and your Administrator will not request to remove your data, please get in touch with us at support@shoutout.au.
Web browser Cookies
Cookies are small files a site or its service provider transfers to your computer’s hard drive through your Web browser (if you allow), enabling the sites or service providers’ systems to recognise your browser and capture and remember certain information.
We use cookies to aggregate data about site traffic and interaction to offer better Services now and in the future. We may contract with third-party service providers to better understand our site visitors and operate Shout Out. These service providers are not permitted to use the information collected on our behalf except to help us conduct and improve our Services.
You have the right to accept or reject our cookies. You can exercise that right by not using our Services or to configure your web browser to refuse cookies. You can visit your web browser’s help menu to learn how to accept and reject cookies.
Who has access to your information?
Your information will not be sold, exchanged, transferred, or given to any other company for any reason whatsoever, without your consent, other than for the express purpose of delivering the Services requested. We do not sell, trade, or otherwise transfer your personally identifiable information to outside parties. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential.
We may also release your information when we believe it is appropriate to comply with the law, enforce our site policies, or protect others’ rights, property, or safety. However, non-personally identifiable information may be provided to other parties for marketing, advertising, or other uses. An example would be creating an advertisement about how people who use Shout Out recognise each other X times per month on average. This is where you aggregate data to make it so the people behind it cannot be identified.
How can you control your data?
You will have different rights regarding your data if you are a Slack Administrator or regular Slack user. If you are an Administrator, you can request us to send, remove or modify any information about your account. To permanently remove your data, you must email us at support@shoutout.au, and we will remove your data within 30 days of notice.
If you are a regular user and you would like to view, modify, or remove all or some of your data, please contact your Slack Administrator and have them email us to do so. If you don’t know your Administrator or have questions, please email us at support@shoutout.au.
Consent
If you do not consent to the collection, use, or disclosure of your personal information as outlined in this policy, please do not provide any personal information to our Service or agree to our Terms of Service and Privacy Policy. If you have provided personal information and no longer consent to its use or disclosure as outlined in this Privacy Policy, please contact us at support@shoutout.au.
